Setting Portal Start and End Dates

Overview

Before going live with a new cycle in Zengine, if you would like your portals to follow specific dates, it is necessary to set the portal dates. This will dictate when your users will gain access to the portals, and when access will be closed or restricted. All portals will default to NOT using start and end dates and will remain open unless dates are added.

Submission Portal

Portal Start Date:

Under Settings and tools (gear symbol), in the submission portal plugin,

  1. Click to edit the specific portal you want to add dates to
  2. Click portal settings once in the correct submission portal
  3. Scroll to the bottom of the page
  4. Deselect the ‘Portal Start Date’ checkbox
  5. Choose your portal’s start date
  6. If desired, update the text you wish to display if the portal is not yet opened in the ‘Closed Portal Text” box

NOTE: If an applicant attempts to login before the start date, they will receive notice that the portal is not yet open, and be unable to login.

 Portal Stages End/Deadline Dates:

Each ‘Required Stage’ or stage that requires the applicant to submit a form in the portal, can have a separate deadline date

  1. Click each required stage from the left-hand navigation bar
  2. At the top of the page you will see a ‘Stage Deadline’ section where you can set a deadline for the stages that require a deadline
  3. If the stage does not need a deadline, you can select the checkbox ‘Stage Has No Deadline’


Application Form Portal

Both the start and end dates for the application portal will be displayed under the ‘Access’ tab of the Application Forms plugin:

  1. Go to ‘Settings and Tools”
  2. Select the ‘Application Form’ tile/plugin
  3. Select the appropriate application form to edit
  4. Click the ‘Access’ tab and update both dates


Review Portal

Start and end dates for the Review Portal are located under the ‘Settings’ tab, which will be displayed on the screen when click the ‘Review Portal’ plugin

  1. Go to ‘Settings and Tools’
  2. Select the ‘Review Portal’ tile/plugin
  3. Select the appropriate review portal to edit
  4. On the settings tab, update both dates
  5. In order for the portal to be open and active, the ‘Active’ checkbox must be checked


Webform Portal

Start and end dates for Web Forms are located under the ‘Settings’ tab, which will be displayed on the screen when you click the ‘Web Forms’ plugin

  1. Go to ‘Settings and Tools’
  2. Select the ‘Web Forms’ tile/plugin
  3. Select the appropriate web form to edit
  4. On the settings tab, update both dates
  5. In order for the form to be open and active, the ‘Active’ checkbox must be checked
